Offer practical alternatives to your contact form
A contact form should be usable, but a sensible alternative can help someone whose device, access needs or situation makes it difficult. Offer real routes the business monitors, such as a visible email address or telephone number. An alternative does not excuse leaving the main form inaccessible.
Before you start
- Confirm which contact channels your business genuinely monitors.
- Identify the main tasks customers use the form or booking tool for.
What to do
Make the alternative easy to find
Place useful contact details near the form or its help text, not only in a distant policy page. Explain whether the alternative is for general enquiries or help completing a particular task. A café's booking-support address should not be confused with a promise of immediate confirmation.
Use understandable labels
Write the actual email address where practical and label a call link clearly. Avoid relying only on small icons or colour. Someone should be able to copy the address if their device does not open an email application automatically.
Keep the main form understandable
Use clear field labels, explain required information and provide helpful error feedback. Do not ask for details that are unnecessary for the enquiry. A developer or accessibility specialist can assess keyboard and assistive-technology behaviour beyond what a simple visual check reveals.
Check the real service behind each route
Arrange an authorised test where appropriate and confirm the business can receive and answer messages through the published channel. State any relevant limitations honestly. A listed address that nobody reads is not a meaningful alternative even when its link is technically correct.
What to check
- Alternative routes are visible beside the task and accurately labelled.
- The business can monitor and respond through each published channel.
- The form itself still receives proper usability and accessibility attention.
