Replace a PDF menu without leaving old links

Replacing a PDF menu is a small publishing job with several places to check. The website button, footer link, printed QR code and social profile may not all point to the same file. Prepare the approved document, identify those routes and verify the downloaded result before retiring an older version.

Before you start

  • Obtain the approved menu and confirm the date its prices take effect.
  • Keep the editable source document and a private copy of the old PDF.
  • List the known website, QR-code and profile links that open the menu.

What to do

  1. Check the replacement document

Open the final PDF and read every page, especially prices, opening times and contact details. Check that text can be selected and is readable on a phone. Use a clear filename and remove draft comments or internal notes from the source before exporting the customer-facing file.

  2. Choose the address strategy

Check whether your platform replaces the file at an existing address or creates a new URL when you upload. Do not assume a matching filename preserves the link. A printed QR code that points directly to an old file needs particular care because you cannot edit the printed code itself.

  3. Update controlled links

Upload the approved file through the platform’s normal media or document tool, then copy its public address. Update the relevant buttons and text links if the URL changed. Label the destination clearly, for example View the current menu (PDF), and include a readable web version where practical.

  4. Download from the public page

Open each important customer route in a fresh browser session and inspect the PDF that actually arrives. Confirm a distinctive updated item or date inside the document. Check printed QR-code routes as well as ordinary links before removing an old file that people may still be using.

What to check

  • The downloaded document contains the approved new information.
  • Known menu buttons and QR-code routes reach the correct version.
  • The document is readable and does not expose internal draft material.
