Webmail works but your email app does not
Webmail is the mailbox viewed through the provider’s website; a phone or desktop application is another way to use it. When webmail works but an app does not, that comparison helps focus the investigation on the device, application or its connection. It is not a reason to move hosting or replace domain records.
Before you start
- Verify the exact account selected in both webmail and the affected app, including any shared mailbox.
- Note the app name, version, device and whether sending, receiving or both are affected.
- Keep unsent drafts and local-only folders safe before considering an account reset or reinstall.
What to do
Use the same harmless example
With the owner’s permission, choose one labelled test message that is visible in webmail. Look for the same message in the app, checking that no unread-only view, search or different folder is hiding it. Compare the actual message and time rather than relying only on unread totals.
Record connection and sign-in messages
Check the app’s visible offline or sync status and whether ordinary internet access works. Note recent password or account-policy changes without copying credentials. If the provider presents a supported sign-in prompt, the owner should complete it directly; a helper does not need their password or verification code.
Ask for the supported configuration
Give the mailbox provider or administrator the comparison and exact error. Ask them to confirm the app’s current supported authentication and connection settings for that account type. Do not follow an old guide that disables secure sign-in or guesses incoming and outgoing server names from the business domain.
Protect local information during repair
Before the administrator proposes removing and adding the account, identify which drafts, folders or archives exist only on the device and how they will be preserved. After the agreed correction, confirm one fresh authorised message syncs as expected and that any required local records remain accessible.
What to check
- The same mailbox and message have been compared in webmail and the app.
- Local-only drafts or archives are accounted for before any reset.
- The corrected app sends or receives as expected without weakening account security.
