Business email is not receiving messages

A quiet inbox does not immediately mean incoming email is broken. A message may have reached another folder, another mailbox or a filtering service, or the sender may have received a rejection. Check one known example from sender to recipient before changing settings that affect all business mail.

Before you start

  • Confirm the exact intended receiving address and whether it is a mailbox, alias or forwarder.
  • Ask the sender for the time and any delivery error, without circulating the whole customer message.
  • Confirm who owns the mailbox and can authorise a harmless test or inspect its settings.

What to do

  1. Search the actual mailbox

The owner should sign in through the email provider’s known webmail address and search for the expected sender or a test label. Review appropriate junk, archive and deleted folders without emptying them. If the message is present there, the next question is display or filtering, not a domain move.

  2. Review the intended delivery route

Ask whether the advertised address forwards elsewhere or belongs to an account no longer used. Have the administrator review existing rules and account status, recording the findings before changing anything. An unfamiliar forwarding rule is a reason to stop and seek account-security help rather than quietly deleting the evidence.

  3. Use one controlled incoming test

With permission, send a plainly labelled message from an address you control and record its time. Check both the receiving mailbox and any failure notice on the sending side. If all mail is affected, ask the email administrator to review the provider’s incoming configuration and domain records together.

  4. Close the loop with the sender

After the cause is resolved, arrange a fresh test and ask the mailbox owner to confirm receipt. Some previously rejected mail may need resending; do not assume it will appear automatically. For an important enquiry, use a known alternative contact route and agree how the missing information should be supplied.

What to check

  • The advertised address reaches the intended owner.
  • The receiving owner can find the agreed test in the expected place.
  • Important rejected messages are requested again where necessary, without duplicate customer workflows.
