Business email will not send: start here
An email that will not leave your outbox is different from a sent message that later bounces. Start by finding the stage that failed and the actual mailbox provider. Your website working normally does not prove the email application, account or outgoing service is ready to send.
Before you start
- Note the sending address, email application, device and exact error without including the message’s private contents.
- Check whether the issue affects every recipient or just one address or attachment.
- Keep any unsent draft safely and do not repeatedly press Send on an important customer message.
What to do
Check the selected account and connection
Confirm the message is using the intended business address, particularly when several accounts appear in one application. Check that ordinary websites load and that the email application is not reporting an offline state. Record recent account or password changes for the administrator; never send them the password itself.
Find out whether the message left
Look at the outbox, sent folder and any delivery failure notice. A sent-folder copy is not confirmation that the recipient received it. If you have a bounce message, use its error details to investigate the rejection rather than treating the problem as a broken Send button.
Compare a small authorised test
If you own the mailbox, use the provider’s known webmail address to send one harmless labelled message to another address you control. Avoid attachments and customer information. If webmail works but the app does not, ask the provider to review the app’s supported sign-in and sending configuration.
Escalate the evidence, not a guess
Give the email administrator the time, sending route, error and test result. They can check account status, sending restrictions and the relevant service. Ask them to explain any proposed change and whether other devices will be affected. After a correction, send one fresh authorised test and confirm receipt before retrying the business message.
What to check
- The failure is identified as an outbox, sign-in or delivery-rejection issue.
- The intended business account is selected.
- The receiving person has confirmed the final test, not just the sender’s sent folder.
